Guidelines for Board Members

Advice:
No matter how hard you work or how hard you try, you will receive some criticism--develop a hard shell and learn not to take it personally, but consider the complaint as impartially as you can to see if you can pick up any suggested improvements from it.
Agenda:
Let the Secretary know as much in advance as possible when you want to be on the agenda for either a chapter or board meeting. Be sure to email your motions to the President, in advance. The agenda is usually prepared the weekend before the meeting.
Approval:

Email letters and flyers to the President for approval before mailing or distribution.

Board Members:
Your binder contains the names and phone numbers for the new officers and committee chairs so that you can make referrals to the proper committee chair--membership, newsletter, etc. Be on the lookout for ways you can assist the other members of the board. This is a great resource list when you need help at work, too.
Bylaws and Standing Rules:
Copies will be provided upon update and approval.
Calendars:
Update your calendar as specific dates are set for events so that scheduling conflicts can be avoided. Remember, you have a commitment to attend all chapter and board meetings--please reserve the third Thursday of each month for IAAP, or appropriate dates assigned. All committee chairs should attend the board meetings; this is where you learn for future committee and officer positions.
Final Reports:
Final reports for one-time events will be due within four to six weeks of the event. All other final reports will be due at the June board meeting and will be presented orally and in writing at that time.
Guidelines:
As you do your job, keep a running record of what you do so that your successor will have the benefit of your experience, solutions to potential problems, and general guidelines.
Adopt a Family:
We celebrate the spirit of Thanksgiving and Christmas with our Adopt-a-family program.  Funds and/or gifts are collected from membership and community donations to purchase a full Thanksgiving dinner in November; and gifts for the family members at Christmas time.  Family choice and gifts are based on need.
Holiday Party:
At the December Holiday Party members traditionally bring gifts for a needy family, and a white elephant gift worth approximately $10. This is entirely voluntary and is extremely fun for our members and guests.
Ideas and Suggestions:
We must all be open to new ideas and suggestions. I would much rather be told in advance what I should do, than afterwards what I should have done. Not all suggestions will be adopted, but all will be considered. Corrections/additions to these guidelines are also welcome.
Remember, this a team effort. If you have a great idea or information pertaining to another committee chair, please pass it onto that Chairperson rather than running with it yourself. The chairperson will be most appreciative, and you will be given proper credit. Some committee chairs are particularly sensitive about this; others are not, but it is better to err on the side of caution.
Mentors:
Each of you will be considered a "Mentor" to a new member. Please contact the new member and have lunch, etc. to help this new member feel accepted and appreciated in our association. Invite them to help out on your committee or another committee.

Publicity Information:
Advise the Webmaster of all upcoming events as much in advance as possible. Check with her about publication deadlines.
Rosters:
Vice-President prepares the membership roster, to be distributed at the Chapter meetings and initiation of new members. The President will be updated monthly on any additions or changes to the roster.
Preliminary Reports:
A preliminary report of some form is due each month by the board meeting. If you have nothing to report, then submit your ideas or suggestions. Be sure to submit a report each month. These reports will be published; therefore, please present in writing, in proper form for publishing.
